Privacy Policy

This Privacy Policy explains how myvideotracker.com (“MyVideoTracker,” “we,” “us,” or “our”) collects, uses, shares, and protects your personal information when you visit our website, create an account, or use our video sharing and viewer tracking service (the “Service”).

If you do not agree with this Privacy Policy, please do not use the Service.

1. Who we are

myvideotracker.com is the organization responsible for your personal information.

2. What information we collect

2.1 Information you provide directly (account owners)

  • Account data: name, email address, password (hashed).
  • Subscription and billing data: billing name, billing address, last four digits of payment card, billing history. Full payment card details are processed by Stripe and never stored on our servers.
  • Videos you upload: video files stored and delivered via Bunny.net CDN on your behalf.
  • Link and gate configuration: link settings, gate type (form, password, meeting booking), form field definitions, CTA configurations, and custom branding options.
  • Team member data: email addresses of team members you invite.

2.2 Viewer data collected on your behalf

When people access a link you share, we collect the following data on your behalf, which is visible to you in your dashboard:

  • Watch session data: session start time, whether the viewer pressed play at all, watch time, completion percentage, video position milestones, play/pause/seek events, and the timestamp at which playback ended or the tab was closed.
  • Gate form responses: any information viewers submit through your lead capture forms (e.g. name, email, company, phone).
  • CTA interactions: email addresses, phone numbers, or meeting-booking data submitted via your call-to-action widgets.
  • Device and technical data: IP address, browser type, operating system, device type (desktop / mobile / tablet), and approximate geographic location inferred from IP.
  • Referral data: the URL the viewer came from (referrer) and any UTM tracking parameters present in the link (e.g. utm_source, utm_campaign) to attribute how the viewer found the video.

As an account owner, you are responsible for informing your viewers that their engagement data is being collected and for having a lawful basis to do so under any applicable laws.

2.3 Information collected automatically (site visitors)

  • Technical data: IP address, browser type, operating system, pages visited, referring URL, timestamps.

3. How we use your information

  • Create and manage your account and subscription.
  • Process payments and send invoices.
  • Deliver the Service, including video storage and delivery, link tracking, viewer analytics, and notifications.
  • Respond to support requests.
  • Send transactional emails (receipts, password resets, security alerts, viewer notifications).
  • Send marketing emails only if you have opted in. Each marketing email includes a one-click unsubscribe link.
  • Monitor and improve the Service, troubleshoot bugs, and analyze aggregate usage trends.
  • Detect and prevent fraud, abuse, and security incidents.
  • Comply with legal obligations and enforce our Terms.

4. Sale or sharing of personal information

We do not sell your personal information. We do not share your personal information with third parties for cross-context behavioral advertising.

5. Who we share your data with

We share data only with the following categories of recipients, and only as needed to deliver the Service:

  • Payment processor: Stripe, Inc. (privacy policy at stripe.com/privacy).
  • Hosting and infrastructure: Amazon Web Services (AWS).
  • Email delivery: Amazon Web Services (AWS SES) for transactional and account emails.
  • Video CDN and storage: Bunny.net, which stores and delivers your video files. Bunny.net processes video data on our behalf under a data processing agreement.
  • Data exports: Amazon Web Services (AWS S3) for temporary storage of data export files you request.
  • Professional advisors: auditors, lawyers, accountants, under confidentiality obligations.
  • Authorities: when required by law, court order, or to defend our legal rights.
  • Successor entity: in connection with a merger, acquisition, or sale of assets, in which case you will be notified.

Each processor is bound by a written Data Processing Agreement that requires them to protect your data and process it only on our instructions.

6. Where your data is stored and transferred

MyVideoTracker stores and processes personal data in the United States, through Amazon Web Services infrastructure. Video files are stored on Bunny.net CDN infrastructure, which may be distributed across multiple regions for performance.

If you are located outside the United States, your personal data is transferred to and stored in the United States. We protect transferred data through contractual safeguards with our service providers and reasonable security measures.

7. How long we keep your data

  • Account data: for the life of your account, then deleted within 90 days of account closure unless we are required to retain it longer.
  • Video files: deleted when you delete them or within 90 days of account closure.
  • Viewer session data: retained for the life of your account, then deleted within 90 days of closure.
  • Billing and tax records: 7 years, as required by US tax law.
  • Marketing preferences and consent records: 3 years from your last interaction.
  • Support communications: 2 years after resolution.
  • Operational logs: kept briefly for security and troubleshooting only.
  • Database backups: rolling 7-day cycle, then overwritten.

8. Your rights

8.1 If you are a California resident (CCPA / CPRA)

  • Right to know what personal information we collect, use, and disclose.
  • Right to delete personal information we hold about you.
  • Right to correct inaccurate personal information.
  • Right to opt out of the sale or sharing of your personal information. We do not sell or share your personal information, so there is nothing to opt out of.
  • Right to non-discrimination for exercising your privacy rights.

To exercise these rights, email privacy@myvideotracker.com. We will verify your identity before responding.

8.2 Other residents

We extend the baseline rights of access, correction, and deletion to all users regardless of location where applicable law permits. To make a request, email privacy@myvideotracker.com. We respond within 30 days.

9. How we protect your data

We apply technical and organizational measures appropriate to the risk, including:

  • HTTPS / TLS encryption in transit for all pages and video delivery.
  • Signed token playback URLs for video streaming — links cannot be hotlinked or shared outside the platform.
  • Encryption at rest for the production database and backups.
  • Hashed and salted passwords.
  • Role-based access control. Staff access data only when needed.
  • Regular vulnerability scans and dependency updates.

No system is 100% secure. You are responsible for keeping your password confidential.

10. Data breach notification

If a security breach creates a real risk of significant harm, we will notify affected individuals promptly and comply with applicable breach notification laws.

11. Automated decision-making

We do not make decisions about you using solely automated processing that produces legal or similarly significant effects.

12. Children

The Service is for adults aged 18 or older. We do not knowingly collect personal data from anyone under 18. If you believe a minor has provided us with personal data, contact privacy@myvideotracker.com and we will delete it.

13. Third-party links

The Service may link to third-party websites (e.g., external meeting-booking or scheduling pages). We are not responsible for their privacy practices. Review their policies before sharing personal data.

14. Changes to this Privacy Policy

We may update this Privacy Policy. We will post the new version on this page and update the “Last updated” date. For material changes, we will notify you by email or a prominent notice in the Service at least 30 days before the change takes effect.

15. For video viewers

If you clicked a link and watched a video on MyVideoTracker, this section explains what happens to your data. The video was shared by a MyVideoTracker customer (the “sender”). MyVideoTracker collects the following data on the sender’s behalf and makes it visible in their dashboard:

  • That you opened the link — a session is created the moment the page loads, before you press play.
  • Whether you pressed play — the sender can see if the video was opened but never started.
  • How much you watched — watch time, completion percentage, and position milestones are recorded via heartbeats sent every 15 seconds while the video plays.
  • Any information you submitted — if the link had a form gate (name, email, phone, etc.) or a call-to-action widget, your responses are stored and visible to the sender.
  • Your device and location — IP address, browser type, operating system, device type, and approximate location inferred from IP.
  • How you got there — the referring URL and any UTM parameters in the link.

MyVideoTracker acts as a data processor on the sender’s behalf. The sender is the data controller for your viewing data and is responsible for the lawful basis on which it is collected. If you have questions about why the sender collected your data or want it deleted, contact the sender directly.
